Hours Worked Formula
Per Shift
Hours = (End Time − Start Time) − Break Minutes ÷ 60
For overnight shifts where End < Start, add 24 hours to End Time before subtracting.
Payroll & Overtime Context
Accurate timesheets protect both employers and employees. Under the US Fair Labor Standards Act, non-exempt employees must be paid overtime for hours worked beyond 40 in a workweek at a rate of at least 1.5× their regular rate.
Always save your timesheet records. Employers are required to keep wage and hour records for at least 2 years under federal law.
Frequently asked questions
How do you calculate total work hours from a timesheet?
Subtract the start time from the end time for each shift, then subtract any unpaid break time. Sum all shifts for the total hours worked. Our calculator handles overnight shifts (e.g. 10 PM to 6 AM) automatically.
Does break time count towards hours worked?
Typically, unpaid breaks (30-minute meal breaks, for example) are not counted as hours worked. Paid breaks (short 10–15 minute rest breaks) are usually included. Enter unpaid break minutes in the break field and the calculator will subtract them.
When does overtime kick in?
In the US, federal law (FLSA) requires overtime pay at 1.5× for hours exceeding 40 in a workweek. Some states also have daily overtime rules (e.g. California requires overtime after 8 hours in a day). Check your local employment laws.
How do I calculate pay from total hours?
Multiply total regular hours by your hourly rate. For overtime, multiply overtime hours (above 40/week) by 1.5× the hourly rate. Some employers use 2× for hours beyond 12 in a day or 60 in a week — always check your employment agreement.
Can this calculator handle overnight shifts?
Yes. If your end time is earlier than your start time (e.g. start 11 PM, end 7 AM), the calculator treats the shift as crossing midnight and adds 24 hours to the end time before calculating the duration.
